Care Coordination at Butterfly Effects
Last updated Thursday, September 06, 2012 |
At Butterfly Effects, we bring together an amazing roster of talented professionals. Our clients have access to many of the most knowledgeable, creative, and caring physicians, therapists, and teachers. But everyone should understand that as brilliant as our clinicians and educators may be, they would not be so accessible if not for our equally talented, resourceful, and forward thinking case coordinators.
It all starts when you call (888) 880-9270.
Even if you aren't sure you need help, go ahead and make that call.
Whatever your reason for calling, we're glad to talk with you. If we can't help you, we will do our best to direct you to someone who can.
When you first call Butterfly Effects for services of any kind, you will be connected with a case coordinator who understands all the factors that go into putting effective treatment in motion. That case coordinator will be in charge of collecting preliminary information from you, and assessing what steps need to be taken and who needs to be involved.
The case coordinator will confer with senior members of our treatment team and a lead clinician will be appointed who provides the services most relevant to the client. For example, a child with Autism will likely be matched with a licensed psychologist who is experienced with assessing individuals with Autism and is current with the latest and most effective approaches to treatment.
Moving forward, the coordinator and lead clinician will work together to make certain that all the early facets that go into building a treatment plan are covered.
What Makes Case Coordination Unique at Butterfly Effects?
Our case coordinators are not about forms and paperwork but are dedicated to making sure that each client they serve is connected with the services he or she needs.
Life is complicated and the individuals we work with almost always have more than one need, and often those needs change. Few are those clients who benefit from only one modality of treatment. With a wealth of knowledge and the support of a strong treatment team, our coordinators work to make certain that whatever services a client receives are complementary and flexible rather than competitive and prescriptive.
We provide continuous case management.
When a client begins to receive services from Butterfly Effects, we look at our relationship as a lifelong commitment. Funding sources may change as a person's status or age changes, and service needs may change. In fact, they should change if they are effective. But regardless of any change, we look to create objectives that are forward thinking and relevant beyond any arbitrary deadline. We aren't interested in a student simply making it through high school just to gain a diploma, but look at how the skills and knowledge accumulated will be of service, as that student becomes an adult.
We understand that conditions like Alzheimer's and Autism can present moving targets and that treatment objectives can change very quickly. To meet the changing needs of clients and their families, any treatment team member can request a review of services.
We provide access to a wealth of resources.
Our growing network of 300 professionals with diverse training and skill sets means that we can readily make the referrals that any client may need. We never have to make do but can readily refer a client to the right academic resources or the right area of therapy.
Our secure online platform invites open communication.
Built from the ground up to meet the very specific needs of our clients, our online tools are designed for ease of use. The platform offers highly intuitive navigation without compromising practical features. It is also exceptionally secure and HIPPA-compliant.
The network provides you with a readily accessible repository of all records, including treatment plans and progress notes. All our clinicians strive to enter progress notes in a timely fashion, understanding how important they are to evaluation and future planning.
We are also now keeping video records, which can prove especially helpful in the development and support of behavior plans. Video can be used to support the writing of specific protocols in a student's IEP and can provide a clear understanding of the changing abilities and needs of an adult with Alzheimer's.
Our network also provides:
We look at clients, not as isolated individuals but as integral members of their families.
The disability of any family member impacts the entire family, and in most instances, it is the family that provides the first and primary line of support. Consequently, it is important that we concern ourselves with supporting the health and function of that family. We attend to the mental health needs of family members with family and marriage counseling, as well as support for siblings and parent-child counseling. Furthermore, we look to involve families as much as possible to everyone's benefit. We invite their input and insight and encourage that they receive the training needed to support behavioral plans.
The ABA principles at the core of our trainings can help facilitate communication and connection between a client and family members. When those principles are understood and applied, they teach family members to understand how their loved ones think and what they can do to make communication of needs and emotions a two-way street.
We are a work in progress.
Every day, we learn a little bit more about how to improve services. New research becomes available; new techniques are developed. While many of our core principles will never change, we will continually make changes in how we operate to better serve those principles. Success can lead to stagnation without conscious dedication to quality.
That quality is fostered by a relentless devotion to learning -- learning that comes from research, experience, fresh faces and fresh ideas, and the input of those we serve.
We are here for you; every member of Butterfly Effects is only a phone call away.

- Client Intake
Our intake interview focuses on what you, your family, and the family member in need of support are experiencing and feeling. While all of our treatment plans are evidence-based, the most important evidence comes from those family members who know the client best. Our goals are always measured in outcomes and the outcomes we measure are ones that address primary needs, improved functionality, community integration, and client and family satisfaction. - Assessment and Evaluation
In our field, most of the measurement tools we employ are based on observation. They look to determine a client's current and potential level of functionality, which is always subject to endless variables. That's why testing at Butterfly Effects is performed only by those professionals who have the experience, knowledge, patience, interaction skills, and intuitive insight required to work with and understand challenging clients who are often nonverbal. Whenever possible, we look to perform all evaluations in the client's natural environment, be it home or school.
One of the great advantages that we have at Butterfly Effects is the ability to call on a wide range of therapists and clinicians with expertise in many fields. Unlike budget-strapped school districts and overburdened public health agencies, the findings of our assessments are based on needs and not influenced by what services are available. - Networking with Services Currently or Previously in Place
Known for the team approach we take within our network, the guiding principle of collaboration also applies to our relations with outside providers and organizations. We have an excellent reputation among schools and organizations with whom we have worked and we continue to build new relationships that are all about cooperation. With your permission, we speak with all service providers who have been involved with the client and continually exchange information with all those who remain involved. - Insurance and Funding
Finances shouldn't have to be but is often the most vexing aspect of case management. Our staff includes a number of experts adept at working with just about any funding source imaginable. While reimbursement procedures and guidelines vary from state to state, we do work with most insurance providers, as well as with Medicaid and Medicare, and specialized funding entitlements such as those provided by Early Intervention programs, respite resources, and school districts. We are also a TRICARE provider, contracted to meets the needs of military families raising children evidencing developmental challenges.
As anyone working with bureaucracies comes to understand, no matter how good the intentions of everyone involved, the servicing of human needs can at times be stymied by inflexible regulations and gobs of red tape. Getting services funded is too serious a matter to be considered a game, but it does at times require the kind of gamesmanship that comes with practice. Insurance battles can be epic and sometime one has to look at the challenge as a heroic journey. The travel requires unlimited quantifies of patience and perseverance. Often it can also require the help of billing wizards who know which keys fit what lock and once through the door, how the mazes must be traveled.
It may not always make sense but we have learned that no doesn't have to be a final destination but is often just a town you have to travel through to get to yes. Our experts can provide the guidance and wizardry to bring your case to positive resolution. But when the challenges are too convoluted or when disputes become frozen, we can refer you to some exceptional advocates and lawyers who can often provide that needed magic touch.
Sometimes, when money can't be found, we take more creative approaches. For example when intensive interventions are required, we can train family members to provide those extra hours of support that can't be funded.
We continue to grow our online library of insurance information and tutorials for clients and families to access.
